Essential Tools and Workflows Every Investment Research Firm Needs to Scale Operations and ComplianceA SEBI-registered research firm scales on four workflows: digital onboarding with KRA KYC and e-sign, recorded delivery of every recommendation, automated subscription billing, and records you can produce in an inspection. This guide explains what each one needs and how to set it up. ![]() Last updated: 2 November 2026 Many small and mid-sized investment research firms in India have a problem that has nothing to do with their research. Time goes into spreadsheets, KYC documents chased over WhatsApp and renewals reconciled by hand, and the research gets whatever time is left. As the client list grows, the same habits turn into a compliance risk, because a SEBI inspection asks for evidence: what you sent, to whom, when, and on what basis. This guide sets out the four workflows a research firm needs to scale: onboarding, recommendation delivery, billing and record keeping. It uses Finuro as an example of how they fit together, but the checklist applies whatever tools you use. It is a summary, not legal advice; check the current SEBI regulations and circulars. Where manual operations break downOnboarding over email and WhatsAppCollecting KYC documents as email attachments or WhatsApp forwards is slow and leaves no clean record. Documents get lost, verification takes days, and clients drop off before they are activated. SEBI-registered intermediaries complete client KYC through a KYC Registration Agency (KRA), so the process has to end in a verified KRA record, not a folder of scans. Recommendations without a recordTelegram broadcasts, WhatsApp groups and email newsletters deliver a call, but none of them keeps a record of what was sent to which client and when. SEBI's Research Analyst Regulations require research reports and recommendations, with their rationale, to be kept for at least five years. A chat history that can be cleared or lost with a phone is weak evidence. Billing on a spreadsheetRenewals tracked in a spreadsheet and payment links sent by hand mean missed renewals, clients who lapse without follow-up and invoices that don't match payments. What is tedious at 50 subscribers becomes unmanageable at a few hundred. What SEBI expects from a research firmDocuments before the service startsBefore a client receives research, they should have the terms of the service, including the Most Important Terms and Conditions (MITC) that SEBI requires research analysts to share, and the firm should keep evidence that the client accepted them. SEBI's guidelines for research analysts, issued in January 2025, made these client-facing requirements more specific. Recommendation recordsEach recommendation should be recorded with its rationale and the date it was made, and records should be kept for at least five years, or longer if a dispute or SEBI requires it. The inspection tests the record, not the quality of the research. KYC and consentClient KYC goes through a KRA. Aadhaar-based e-sign under the IT Act gives a signed, verifiable agreement, which is far stronger evidence than a PDF sent over WhatsApp and a reply saying OK. Check with your legal adviser which documents e-sign suits. Annual compliance auditResearch analysts must have their compliance audited every financial year. The auditor will ask for the same records an inspector would, so keeping them in order all year is cheaper than rebuilding them in March. The four workflows to put in place1. Structured digital onboardingA digital onboarding flow collects the client's details, fetches or registers KYC with the KRA, shares the MITC, collects the e-signed agreement and, for investment advisers, the risk profile, and only then activates the client. Every step is recorded on the client. In Finuro this is e-KYC and e-sign onboarding, with Aadhaar e-sign or an email OTP and the order of steps set per plan. 2. Recorded recommendation deliveryPublish each call once, from one place, and let the system deliver it to the right clients on email, WhatsApp and Telegram. The record should hold the levels, rationale and report, every update and the final outcome, with a delivery log per client and channel. In Finuro this is the recommendation engine, with recommendation records and communication records behind it. 3. Automated billing and renewalsPayment through a gateway, an invoice on every payment, subscriptions that activate when the client pays and renewals and expiry tracked by the system. In Finuro, subscription billing handles plans, payments and GST invoices, and paid Telegram and WhatsApp groups can be attached to plans. 4. Records you can produceAn audit log of who changed what, documents kept on the client or recommendation they belong to, and exports for any period. Give each team member their own login and role so the log names the person. See audit trail and role-based access control. Why this is a competitive advantageThe research firms that grow are rarely the ones with the largest teams. They are the ones whose onboarding, delivery, billing and records run without daily manual effort, so the team's time goes into research and clients. SEBI's expectations for research analysts are rising, not falling, so building these workflows now, on your own schedule, is easier than building them after an inspection.
